How to Run Inbox Zero on a Shared Guest Inbox

Run Inbox Zero in a shared guest inbox: clear the backlog in one sweep, swipe conversations done, and split the queue between your team.

Three people, one inbox, forty open conversations. Someone already replied to the guest in 4B, but you cannot tell who, and you cannot tell whether the guest in 2A is still waiting. So you scroll the whole list again, just in case. Supahost is built so you never have to. The inbox is the to-do list, and anything handled leaves it.

Inside Supahost

TL;DR: Todo is everything that still needs a person, Done is cleared out of the way but still searchable under All, and Assigned to me is the slice one teammate owns.

The inbox is the list

Superhuman put it well: if your inbox itself is your to-do list, you skip the archaic ritual of copying messages into a second one. The triage question is the only one you need. Is this for today, for another day, or is it done? Inbox Zero was never about an empty screen. It is about every message having a defined next action.

Supahost gives you two states. Todo holds every conversation that still needs a person. Done is out of the way but never deleted. There is no snooze, so anything you cannot finish now stays in Todo, where the rest of your team can see it.

Get to zero once

On day one your Todo is every conversation you have ever had. Do not clear it by hand.

  1. Select the Todo view.
  2. Open the menu.
  3. Choose Clean Up Inbox.
  4. Pick 1 week (most popular).
  5. Leave Also clean up answered conversations? on.
  6. Press LET'S GO ✨.

That sweeps everything older than a week, plus any recent conversation where you or the AI spoke last, plus the empty ones. One catch worth knowing: Clean Up Inbox only appears while Todo is the selected view. If you are sitting in All, you will not find it.

Clearing is safe

Swipe right on a conversation to mark it as done. That is the whole gesture.

What makes it safe is the part you never see. When a guest sends a new message on a conversation you cleared, Supahost moves it back into Todo before it does anything else with it. Server side, automatic, nothing to configure. Marking a conversation done is not a bet that the guest is finished. It is a statement that you are, for now.

Nothing is lost either. Switch to the All view and search: All is the unfiltered set, done conversations included.

Dividing it between people

This is the part hosts ask us about most. Open the conversation, go to its booking panel and use Assign to, which shows up once you have added your team. One teammate owns it. They get a push that opens that exact conversation, and it lands in their Assigned to me view. Nobody has to announce who is taking what.

Assign, hand off, and let the guest reply bring it back

For a standing split, use saved views. Filter the inbox the way one person actually works, by their properties, their channel, their urgency, then save the filters, name the view and Share with team. Until you do, only you can see it. One shared view per person, or per building, and the pile becomes lanes.

Why a clean Todo pays

Supahost sends a reminder about conversations still waiting on a reply, and it only counts conversations sitting in Todo. If Todo holds four hundred chats, "3 conversations waiting" is noise your team learns to ignore. If Todo holds only what you actually owe a guest, that same notification is worth acting on.

Your AI mode still applies

Off, you write everything. Copilot, the AI drafts and you approve. Autopilot, the AI replies on its own, and plenty of conversations reach Todo already handled.
